Track those billable hours!
by Stijn Verrept

A lot of contracts that you make with your customers will be based on an hourly rate. Most of the time the customer will want a detailed report of what you have done and how long it took you to do it. Keeping track of your hours in a time sheet is the best way to go if you need these reports. But even if it is not required by your customer it can be very useful to track your hours for multiple reasons:

- You will notice that you work much more than you actually think and bill. There are lots of occasions that something only takes 10 minutes to do (like answering a support call) but you don't take the time to note it down and at the end of the month you have forgotten about it.

- Even if your customers don't ask for timesheets, you can still send them together with your invoice. They will be pleased to see a detailed report and it gives your company a more professional look.

- When you make a habit of tracking your hours then you will be able to generate great statistics over time. When you'll need to make a new quotation for a different customer you will be able to see how much time you have spent in the past creating a certain feature, ...

- You'll have much better insight in your upcoming cash-flow because you can immediately calculate how much time you have spent on which project.

- You'll be able to do comparisons between months and know beforehand which months are less profitable than others.

You can keep track in many ways but it is essential that it doesn't take more than a couple of seconds to note down what you have done and to which project it belongs. Otherwise you will not bother noting it down. While it is possible to create a timesheet in Excel it isn't the best way to go. Excel was never designed for this and noting down the hours can be quite bothersome.

Entrysoft offers a timesheet program called Timesheet Constructor. It uses a graphical interface which allows you to input your activities very fast. At any given time you can see how much time you have spent working on which project. It also allows you to link costs like mileage to a certain activity. There are charts included that give a detailed view of your work during the week, month or year. The extensive export possibilities include PDF, Excel, Lotus, HTML, ... The program is available in multiple languages and there are screenshots and a short demonstration available on their website (http://www.entrysoft.com). This program retails for $35 which you will earn back in no time by keeping track. They offer a 15% discount for Allfreelance readers by using this coupon (CPN5894397148).
